What qualification is expected for a commercial-administrative Work position in Switzerland?
In most job postings, an EFZ (Commercial Clerk, often E or M Profile) or a commercial diploma is the basis, supplemented by an edupool.ch specialist certificate.
State your qualification exactly as it appears on your certificate, including profile and sector: 'Commercial Clerk EFZ, E Profile, service and administration sector'. Swiss HR managers can immediately gauge your level from this. For a commercial diploma, name the issuing body (for example VSH or the Swiss Commercial Employees Association), and for a commercial Berufsmatura, add the specialisation.
For the next career step, edupool.ch/veb.ch certificates are the usual route: Accounting Clerk, HR Clerk or Fiduciary Clerk. Those aiming further should target the federal diploma of higher education, such as Specialist in Finance and Accounting, HR Specialist or Technical Commercial Specialist. List ongoing training with the planned examination date, which signals commitment.
If you hold a foreign qualification, add a note on recognition by the SBFI or swissuniversities, as well as your residence status (C, B, G permit or Swiss citizenship). Without this information, many SMEs reject applications simply out of uncertainty. Technical terms such as CO accounting standards, VAT Act, Swissdec or ISO 20022 also show that you know the Swiss regulatory framework.
How should I structure my work experience so the CV is convincing?
In reverse chronological order, with two lines of company context per position, followed by three to four bullet points with figures rather than task lists.
Start with your most recent position and give the month and year (03/2020 - present). After the company name, put the employer in context: sector, number of employees, revenue, team size. Order processing for an SME with 40 people is different from a company with 500 - this context determines whether your experience is read as relevant.
Phrase results, not duties. Instead of 'responsible for accounts receivable', write 'managed accounts receivable volume of CHF 12.5 million, reduced DSO from 47 to 29 days'. Useful metrics in administrative roles include the number of documents, orders or payslips per month, turnaround times, error and complaint rates, hours saved and cash discount income. If you don't have official figures, make a defensible estimate and stick to that order of magnitude in interviews.
Explain gaps and changes calmly in a single line: further training, military service or interim earnings via RAV (regional employment office). Summarise temporary assignments under one entry ('Temporary assignments via staffing agency, 2019 - 2020, three placements in industry and fiduciary services'). Consistency with your reference letter is important, as Swiss reference checks scrutinise dates and job titles closely.
How long should a Swiss CV be, and is a photo required?
Two pages is standard; a professional portrait photo is still customary in Switzerland and is practically expected for commercial positions.
Keep it to a maximum of two pages; with over ten years of experience, three pages are acceptable. Shorten older positions to a single line. Page one should contain contact details, a short profile, 'At a glance' and your current position - many recruiters decide in under a minute. Save as a PDF with a clear file name, for example 'CV_Marco_Buehlmann.pdf'.
The photo should be a plain portrait in business attire, not a holiday snapshot. Also typically Swiss: place of residence with canton, permit or citizenship status, year or date of birth, marital status only if you wish, language levels according to the CEFR, and details on notice period and possible start date. Mention hobbies briefly and only if they show something relevant - club treasurer or board mandate fits well with an administrative profile here.
Complete the dossier with reference letters, diplomas and, if needed, two references with their role and phone number (with their consent). Salary details do not belong in the CV; if a form requires a figure, give a range such as CHF 85'000 to CHF 92'000 gross annual salary, and tailor your documents for each application to the keywords in the job posting.

Marco Bühlmann
Administrative & Order Processing Clerk, Commercial Clerk EFZ (E Profile), Accounting Clerk edupool.ch
Commercial all-rounder with 9 years of experience in order processing, accounts receivable and payroll preparation in Swiss SMEs with 40 to 180 employees. I am responsible for around 4'800 orders per year and an accounts receivable volume of CHF 12.5 million, with an error rate below 0.4 percent. Proficient in Abacus, SAP S/4HANA (SD module) and the formal requirements of the CO, VAT Act and Swissdec payroll standard.
What sets me apart
End-to-end order processing: From quotation through delivery note and customs documents (e-dec, EUR.1) to invoicing in SAP SD - I complete processes instead of just passing them on. Turnaround time per order: 1.3 days instead of 2.8 days.
Solid accounting foundation with figures: Accounting Clerk edupool.ch: accounts payable, accounts receivable, dunning up to the 3rd stage, and preparation of the financial statements according to CO accounting standards for the fiduciary office.
Payroll and social insurance expertise: Monthly payroll preparation for 180 employees, including withholding tax, BVG changes, UVG/KTG notifications and year-end processing according to Swissdec payroll standard 5.0.
Digitalisation at SME pace: I introduce improvements without a project budget: OCR document capture, e-invoicing per ZUGFeRD/Swico and Excel Power Query reports save the team 26 hours per month.
Key achievements
Reduced accounts receivable turnover by 18 days. New three-stage dunning process with a fixed weekly rhythm in Abacus: DSO reduced from 47 to 29 days, write-offs reduced from CHF 68'000 to CHF 21'000 per year.
Sped up document capture by 62 percent. Introduced OCR accounts payable capture with a digital approval process for 9'200 documents per year - capture time per document reduced from 4.2 to 1.6 minutes.
VAT audit with no additional charges. Prepared and supported the Swiss Federal Tax Administration (ESTV) audit for three financial years (revenue CHF 34 million): result with no correction, revenue reconciliation completed in 5 days instead of 14.
