The role of Executive Assistant to the Founders involves providing comprehensive administrative support to the executive leadership team, ensuring that their schedules, meetings, and communications are managed efficiently. The main day-to-day responsibilities include managing calendars, scheduling meetings, and organizing appointments. The role also involves handling correspondence, preparing documents, and managing communication flows on behalf of the executives. Additionally, the Executive Assistant will arrange and coordinate travel plans, itineraries, and expense reporting, as well as support with payment of invoices, reimbursements, and other administrative or financial tasks. Preparing meeting materials and ensuring follow-up on action items, as well as liaising with internal departments and external partners, are also key aspects of the job. Maintaining confidentiality and handling sensitive information with professionalism is crucial. To be considered for this role, candidates must have at least 5 years of experience as an Executive Assistant, Personal Assistant, or in a comparable administrative role, with a strong preference for experience in the financial/trading sector. Excellent organizational and multitasking skills, along with strong attention to detail, are essential. A high level of integrity, discretion, and professionalism is required, as well as strong communication skills in English. Proficiency in MS Office and common collaboration tools, such as Excel, Word, and Outlook, is necessary. A proactive, hands-on attitude and the ability to anticipate needs and take initiative are also important. Fluency in German is a strong plus, and additional languages are an advantage. The role requires flexibility to adapt to changing priorities and schedules. The position is based in Zurich, and candidates must be able to work on-site every working day. Only those who live within commutable distance to Central Zurich and possess the pre-existing right to work in Zurich without requiring company sponsorship need apply.
