Which qualification belongs in a CV as a Payroll Specialist?

Swiss employers expect basic commercial training plus payroll-specific further education, such as the Payroll Specialist certificate or the Federal Professional Certificate in Social Insurance.

State the highest payroll-relevant qualification first and write it out exactly: 'Social Insurance Specialist with Federal Professional Certificate' or 'HR Specialist with Federal Professional Certificate, specialisation in Personnel Administration'. If you have completed the Payroll Specialist certificate (edupool.ch, Swiss Commercial Association) or training as a Payroll Accounting Clerk, this belongs in the same section - these titles are often explicitly required in job postings. For foreign diplomas, add a note on recognition as well as your residence permit (C permit, B permit, cross-border commuter G).

Without a professional certificate, you can score points with proven practice: Commercial Clerk EFZ plus several years of independently running payroll is more compelling than a certificate without volume figures. So state specifically how many people, how many companies, and in which cantons you have processed payroll for. If you still have the exam ahead of you, note 'Federal Professional Certificate in Social Insurance, completion planned autumn 2026'.

Also show that you are professionally up to date. Short courses on Swissdec ELM 5.3, withholding tax revision, home-office taxation for cross-border commuters, BVG reform or wage equality analysis under the Gender Equality Act signal that you can independently implement legislative changes in payroll. Two to four such credentials are enough, with year and provider.

How do you describe your payroll experience convincingly?

Describe the payroll cycle you are responsible for at each position, and back up every point with figures on volume, deadlines and quality.

For each position, provide three key figures: number of payslips per period, number of companies or accounting units, and the software used. '1'200 payslips per month for 14 companies in Abacus' says more than 'Responsible for payroll administration'. Add the rhythm if it is unusual - weekly runs in temporary staffing or hourly wage settlements in hospitality under the L-GAV (national CLA for hospitality) are a distinct skill.

Make the depth of your tasks visible. Distinguish between pure data entry and technical responsibility: maintaining withholding tax tariff codes, settling daily allowances from Suva, KTG insurers and EO, reconciling BVG contributions with the pension fund, matching payroll accounts with financial accounting, calculating provisions for vacation and overtime balances, and preparing the AHV employer inspection. Also mention year-end work with salary certificates, ELM reports and wage structure surveys.

Demonstrate quality and improvement. Error rate in the payroll run, number of correction documents, processing time from mutation deadline to payment file, recovered daily allowances in francs, or a system change with parallel runs are figures that payroll managers immediately understand. If you led a project, state your role, the number of migrated personnel records and the result of the parallel runs.

How long should the CV be, and is a photo needed?

Two pages are standard, a professional photo is still customary in Switzerland and expected by most HR departments.

Stick to two pages: page one with contact details, profile, core competencies, systems and the current position, page two with further positions, education, further training and languages. Summarise positions older than 15 years in one line. Avoid continuous text for tasks - short, quantified bullet points are more meaningful for payroll roles.

A professional portrait photo in the top right, place of residence with canton, year of birth, and marital status are optional, along with nationality or permit type: these are Swiss conventions. Only state your salary expectation if requested, and then as an annual gross salary including the 13th monthly salary, for example CHF 85'000 at a 100 percent workload. Also state your notice period and earliest possible start date, since payroll handovers are usually planned for the start of a month.

Tailor the CV to the job posting: if a company requires experience with SAP HCM, this system must appear on page one, not page two. Weight languages according to region - for positions in Basel or Geneva, French and English skills with proficiency level are important, because you correspond with employees, compensation offices and tax authorities in several national languages. Send a PDF with a clear file name, for example 'CV_Braegger_Payroll.pdf', and provide two references or note 'References available upon request'.

Payroll Specialist with 9 years of experience independently processing up to 1'200 payslips per month for 14 companies in 21 cantons. I am responsible for the complete payroll cycle from mutation to salary certificate, including withholding tax, BVG (occupational pension) reconciliation, UVG/KTG daily allowance settlement, and Swissdec year-end reporting (ELM 5.3).
