CV builder or Word template: count the versions you will send first

A decision checklist for choosing between a CV builder and a Word template: one version in one language points to a template; several tailored applications a week, a second language or pages that need to re-break point to a builder

Most comparisons of CV builders and templates look at the design. That is the wrong place to start, because a good Word template and a good builder can both produce a Swiss CV that does its job. arbeit.swiss, the job portal run by SECO and the regional employment centres, sets the same bar for both: newest first, no more than three pages, sent as a PDF.

What separates them is what happens the second time you use the file. A template holds your text and its layout in the same place, so every change touches both. A builder stores your employers, dates and duties as data and draws the page from them, so it can redraw the page as often as you like.

So the useful question is how often you will redraw it. Below are the five situations where that matters, what to do by hand if you stay with a template, and the cases where the template is simply the better tool.

Short version

Should I use a CV builder or a Word template?
Count the versions you will send. One CV in one language that rarely changes: a template is enough and free. Several tailored applications a week, or two languages: a builder saves the repeat work.
What can a CV builder do that a template cannot?
Change the layout without retyping, recalculate page breaks when you add content, rewrite the text against one advert, output the same CV in another language, and keep one version per application.
When is a Word template better?
For a single version, offline use without logging in, and when you require absolute control over the visual elements, ideal for graphic design or architectural applications.
How long should a Swiss CV be?
No more than three pages, newest first, sent as a PDF, according to arbeit.swiss, the portal of SECO and the regional employment centres.

How many versions of my CV will I actually send?

Count them before you pick a tool: one version in one language points to a template, several a week points to a builder.

Take a normal week of applying in Switzerland. On Monday there is a project coordinator role in Zurich, advertised in English. On Wednesday an office job in Fribourg, advertised in French. On Friday a second coordinator role in Zurich, this time in German, asking for SAP experience you mentioned only in passing.

To tackle these three job postings, each requiring a tailored profile and first bullet points, one approach is to use a template, necessitating the creation of three copies of one file, each meticulously edited and one of them translated.

Now take a different reader: an apprentice applying for one place, or an employee applying internally, with one CV in one language that will change twice a year. For that person a builder adds an account, a login and a learning curve, and gives back very little.

Write down the number. If it's one, proceed to the final section. If it exceeds one a week, allocate your time to the next four sections.

What happens when I add a new job to a Word template?

The page layout shifts, rendering the template unable to discern which lines belong together.

This is the most common frustration with templates. You add a role at the top, three bullet points grow a line each, and your education section splits across pages one and two. In a two-column template, the sidebar can run off the bottom edge without any warning on screen.

If you stay with a template, build one habit: after every edit, export to PDF and look at every page break before you send anything. Check three things. No role starts at the bottom of a page with its bullet points on the next. No page opens with bullets and no employer above them. The document is still three pages or fewer, which is the limit arbeit.swiss gives.

A builder does this check for you. Our editor measures the A4 page after each change and moves a role that no longer fits onto the next page as a whole. If a long list has to cross the break anyway, the role's heading repeats with a continued label, so page two never starts with orphaned bullet points.

How do I tailor a CV to one advert without rewriting it every time?

Take the three requirements the advert repeats and make your profile and first bullets answer them, using only things you have done.

By hand, start by duplicating the job posting into a document. Identify the key demands it lists multiple times or lists first, and then rewrite your profile to prioritize the most critical one in its second sentence. Organize the bullet points under your most recent role so that the matching responsibility comes at the top.

An example. The advert asks for SAP, supplier coordination and German at B2. Your current bullets start with team meetings. Move the line about ordering from suppliers in SAP to the top, and make sure the language section says German B2 rather than good German.

A template is provided with essential section headings, with nothing else included. You will need to conduct the reading and subsequent rewriting for each job posting. Our AI-assisted builder will review the advert and offer a rewritten version based on the information available in your CV or provided instructions. If the job posting requests details that are not present in your CV or instructions, our system will list them as suggestions for you to either confirm or disregard. At any point, you can still make manual edits to each line.

Do I need my CV in a second language?

Often, and it depends heavily on the field: the language of the advert is the language of your application.

In the Swiss job adverts we read, 30 per cent in marketing and 28 per cent in IT name English as their only language. In construction it is almost none. Anyone moving to Switzerland from abroad feels this first: an English CV can carry you through a tech role in Zurich or Basel, while an office job in Geneva, Lausanne or Bern will usually expect French or German.

A translated CV is more than translated sentences. The section titles change, the date format changes, and your language levels should be stated on the CEFR scale (B2, C1) in the words that language uses. If you are coming from outside the EU and EFTA, the line about your work permit also belongs on every version, because it is one of the first things a Swiss employer checks.

With a template you keep one file per language and remember to update both whenever something changes. A builder outputs the same details in German, English, French or Italian. Machine translation still makes mistakes, so read the other-language version from top to bottom before you send it.

How do I keep track of which CV went to which employer?

Name each version after the employer and the date, and keep the advert next to it.

A few weeks of tailored applications with a template leaves a folder of files called things like CV_final_v3_new. Then a company phones two weeks later and you cannot say which version they are holding.

By hand, the fix is a naming rule and one extra file. Name every CV as employer, role and date, for example Migros_ProjectCoordinator_2026-09. Save the advert as a PDF in the same folder with the same name, because adverts are taken offline once the role is filled, usually before the interview.

For each application, a builder maintains a distinct copy, which also includes the advert text. Within our editor, multiple versions coexist beneath the employer's name, so weeks later you can still identify the specific needs addressed by that CV.

When is a Word template the better choice?

When you need one version, want to work offline, or need full control over the design.

A template is entirely yours. The file lives on your computer, works without internet, an account or a subscription, and will still open in ten years. The Swiss careers guidance service berufsberatung.ch offers a free Word template, and for an apprenticeship application or a single internal move it is all you need.

It also goes further on design. In Word or Canva you can move every margin and element, which is a real advantage in graphic design, architecture or fashion, where the CV is part of the portfolio. A builder limits that freedom on purpose, because it has to calculate the page itself. Our editor offers variations of one Swiss format rather than dozens of separately designed layouts, and a template gallery gives you more visual variety.

Alternatively, you may prefer not to share your personal information online; in this case, using a local file provides a straightforward solution. This is a valid concern in its own right and no feature list outweighs it.

The short version: count the versions. One CV, one language, rarely changed, and a template is enough and costs nothing. Several adverts a week, perhaps in two languages, and a builder takes over the part of the work that starts from scratch in a template every time.

Whichever you choose, the finished document is judged the same way. Before you send it, open the PDF and read the first half of page one as the employer will: does it answer the three things this advert asked for?
